Privacy policy

How Optimizer365 collects, uses and protects personal information, under the Australian Privacy Principles in the Privacy Act 1988.

Who we are

Optimizer365 is the trading name of Itenic Holding Pty Ltd, ABN 30 633 888 561, an Australian company. In this policy, we and us mean Itenic Holding Pty Ltd. You can contact us at any time at hello@optimizer365.ai.

What we collect

We collect only what we need to reply to you and to deliver work you have asked for.

Information you give us. Your name, work email address, company name, role, and anything you write in a message, a form or an email to us.

Information from an assessment. When you authorise an assessment, we read configuration, licensing, billing and resource information from the environment you connect. We do not read mail content, files, chat messages or documents. Full detail of what the access covers is on the security page.

Information from your visit. Standard web server information such as your IP address, browser and the pages you viewed, used to keep the site working and secure.

Why we use it

To reply to your enquiry, to produce and deliver an assessment report, to compare a scheduled assessment against the previous one, to invoice for work you have engaged us for, and to meet our legal obligations. If you ask for the newsletter, we use your email address to send it and for nothing else.

We do not sell personal information. We do not disclose it to third parties for their own marketing.

Who else sees it

Where an engagement runs through a service provider, that provider receives the report, because they own the relationship with the end client. Beyond that, personal information is shared only with service suppliers who help us run the business, such as hosting, email and accounting providers, and only to the extent they need it. Those suppliers are bound to protect it.

Some of those suppliers store data outside Australia. Where that happens we take reasonable steps to ensure the information is handled consistently with the Australian Privacy Principles.

How long we keep it

Enquiry correspondence is kept while the conversation is live and for a reasonable period afterwards. Assessment findings and reports are kept for as long as you are a client, because a scheduled assessment is worthless if it cannot compare against the previous one. We retain the findings and the report.

Ask us to delete what we hold and we will, and we will confirm the deletion in writing. Where we are legally required to retain something, for example a tax record, we will tell you what and why.

How we protect it

Our information security management system is certified to ISO/IEC 27001. Access to client information is restricted to the people who need it, connections to your environment are read only, and we never store credentials for your systems. Ask and we will send the certificate and its scope statement.

Cookies

Google Analytics is not enabled in this version of the site. Our fonts and animation scripts are served with the site. The optional LinkedIn feed loads only after you select “Load LinkedIn feed”. That action connects to Elfsight and may load LinkedIn content; those services receive browser information and may use cookies.

Booking and newsletter links open external services, including Cal.com, LinkedIn and Beehiiv. Their own privacy and cookie policies apply when you visit them. Website enquiry forms use FormSubmit to process the details you submit and deliver them to hello@optimizer365.ai. You complete its submission check before delivery. Your enquiry details are shared with FormSubmit for this purpose. You can also contact us directly by email.

Accessing and correcting your information

You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Email hello@optimizer365.ai and we will respond within a reasonable period, normally within 30 days. There is no charge.

Complaints

If you think we have mishandled your personal information, email us and we will investigate and respond in writing. If you are not satisfied with our response, you can escalate to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes

If this policy changes we will update the date at the top of this page. Material changes affecting how we use information already collected will be notified to clients directly.
